Hotel Reporting That Comes From the Records, Not a Rebuild

Hotel reporting software turns the property's operational records into figures management can act on: occupancy, rooms sold, booking source mix and what is still open right now. Because it reads the same records the hotel runs on, no one has to rebuild a monthly report by hand.

The reason owners ask for reporting is rarely analytics. It is that they want to know what is happening in their hotel without phoning the duty manager on a Sunday.

The problem

The monthly report is late because someone has to build it.

When occupancy is calculated by hand from a booking sheet, two things follow. It arrives late, and it arrives in a form nobody can question — because tracing a number back to the bookings behind it means repeating the work.

The second problem is that manual reporting only covers what is easy to count. Rooms sold is countable. Rooms still not inspected at 2pm, guest requests outstanding, arrivals with no room allocated — these are the figures that would actually change a decision today, and they never make it into a monthly pack.

  • Nobody can explain why two reports of the same number disagree.

  • The owner has to ask staff what is happening, which interrupts the staff.

Implementation

Reporting is only as good as the operational discipline underneath

A reporting module cannot manufacture accuracy. If room statuses are updated inconsistently, turnaround figures will be wrong; if booking source is not captured at the point of booking, source mix will be a guess in a nicer format.

This is why we recommend getting reservations and room status reliable before anyone starts reviewing reports. Two or three weeks of consistent operational use is usually enough for the figures to be worth a management conversation.

One note on revenue metrics: WingPMS reports what it can support from its own records. Where a figure such as ADR or RevPAR depends on data WingPMS does not hold, we will say so rather than presenting an estimate as a measurement.

Being straight with you

What this is not

  • WingPMS is not a revenue management system. It does not forecast demand or recommend rate changes, and we would rather say so than let a reporting module imply it.

  • It is not a replacement for accounting software. The billing workflow records charges and payments against stays and hands off to your accounting process.

  • Reports cannot be more accurate than the operational data behind them. If room status is updated inconsistently, the turnaround figures will show that.

Questions hotels ask us

Does WingPMS report ADR and RevPAR?
WingPMS reports the metrics it can support from its own records, including occupancy, rooms sold and rooms revenue. Where a metric depends on data WingPMS does not hold, we say so rather than presenting an estimate as a measurement — which figures apply to your property is worth confirming during a working session.
Can the owner see reports without having a staff login?
Yes. Access is by role, so an owner or director can be given a view of occupancy, bookings and operational status without access to guest contact details or the ability to change operational records.
Can we export figures for our accountant?
Yes, in a standard format. WingPMS records charges and payments against stays and hands off to your accounting process; it is not itself accounting software.
How current are the figures?
They read from live operational records, so occupancy and open items reflect the property as it stands now. The accuracy depends on operational discipline: figures are exactly as current as the status updates behind them.
