A PMS an Independent Hotel Can Actually Run

An independent hotel needs a PMS that one person can own and a new receptionist can learn in a shift. The operating problem

You are the IT department, and you also cover Saturday.

Independent properties do not have a technology function. The person evaluating the system is usually the same person who covers a shift when someone calls in sick, deals with the supplier who did not deliver, and answers the owner's question about last month's occupancy. Anything that needs managing will not get managed.

That rules out more software than most vendors admit. A system requiring configuration by a consultant, ongoing administration, or a specialist to produce a report is not a fit — not because it is bad, but because nobody at the property has the hours.

The second constraint is staff turnover at the front desk. Whatever is chosen has to be learnable on a second shift, by someone who has never used a PMS, with no one available to train them properly that week.

For an independent property with reasonably tidy records, implementation is a matter of days rather than months. The work is mostly in getting room types, rates and forward bookings clean before anything is loaded.

We recommend scheduling it in a low-occupancy period and agreeing a hard date on which the old spreadsheet becomes read-only. Properties that run both systems indefinitely have added a system rather than replaced one.

Questions hotels ask us

We are a single property with 30 rooms. Is WingPMS too much?
That is squarely the size WingPMS is built for. The question worth asking is not room count but concurrency: if reception, housekeeping and the owner all need the same answer about the same rooms on the same day, a connected system pays for itself in staff time.
Who at our hotel has to manage the system?
One named person needs to own the change during implementation — usually the GM. After that, WingPMS is designed to need no ongoing administration. If you find yourself needing a consultant to make a routine change, something has gone wrong.
What if our front desk staff change often?
That is a normal constraint we design around. The front desk view is deliberately narrow — today's arrivals, departures and in-house guests — so a new receptionist can be useful on a second shift rather than a second month.
Can we keep using our existing website?
Yes. Direct booking sits on the site you already have. If the website itself is the constraint, the free digital audit will say so plainly rather than selling you a booking path that cannot fix it.
