Hotel PMS Pricing: What a Hotel Actually Pays For

Hotel management software is normally priced on room count, plus a one-off implementation fee, with modules such as direct booking or multi-property reporting either included or charged separately. WingPMS is in its founding-hotel phase, so pricing is confirmed during a workflow review rather than published as a fixed list.

This page explains what drives the number — for WingPMS and for the category generally — so you can compare quotes properly rather than on the headline figure.

What drives the number

Six things that move hotel software pricing

These apply across the category, not only to WingPMS. Knowing them makes two quotes comparable.

Room count

Almost every PMS prices on rooms, because it is the closest proxy for how much the property uses the system. Watch for the banding — a 52-room property can land in a much higher tier than a 48-room one.

Modules in use

Whether direct booking, WhatsApp handling and multi-property reporting are included or charged separately. This is where quotes stop being comparable between vendors.

Implementation

Data migration, configuration and training. Sometimes a one-off fee, sometimes bundled, occasionally billed by the day once you are past an allowance.

Properties

For groups, whether pricing is per property, per portfolio, or has a group-level reporting charge on top.

Payment processing

Charged by your payment provider rather than by the PMS, but it belongs in the comparison because it is real money per transaction.

Support level

Whether out-of-hours support is included, and what response time is actually committed to rather than advertised.

Not accusations — just the items most often missing from a first quote. Ask every vendor, including us.

  • Per-user charges that appear once your team grows past a threshold

  • A separate fee for the booking engine, quoted only after the PMS price is agreed

  • Training days billed after an initial allowance is used up

  • Data export charged as a professional services item when you want to leave

  • Annual uplift clauses that are easy to miss in a multi-year agreement

Founding hotels

Where WingPMS is right now

WingPMS is being built with a small number of founding hotels. Those properties get preferred commercial terms in exchange for running the product early and telling us honestly what does not work.

We publish no price list during this phase because the terms genuinely differ by property and by how involved a hotel wants to be. What we will do is put the numbers in writing before you commit to anything, including what happens when the founding terms end.

Because WingPMS is in its founding-hotel phase and pricing is confirmed as part of a workflow review rather than published as a fixed list. We would rather explain that than put up a number we would have to renegotiate in every conversation.
What does hotel management software usually cost?
Across the category it is normally a monthly subscription driven by room count, plus a one-off implementation fee. The range is wide enough that a published average would mislead more than it helps — what makes quotes comparable is the module and implementation detail, not the headline figure.
Is there an implementation fee?
There is usually a one-off cost covering data migration, configuration and training. For founding hotels the terms are different, and we will put whatever applies to your property in writing before you commit.
Do you charge per user?
We think per-user pricing is a bad fit for hotels, where staff turnover is normal and housekeeping teams are large. What applies to your property will be stated explicitly in your quote rather than left to a footnote.
What happens if we want to leave?
Your reservation and guest data can be exported in a standard format at no additional charge. We think being able to leave is a reasonable thing to establish before signing with any vendor, including us.
